June 28, 2010

MEMBERSHIP
Primary Member must be 18 years or older.

MISCELLANEOUS
Separate meetings are scheduled on 7/7 with New Castle Insurance & Progressive Pool Management to discuss insurance and billing issues.

SWIM TEAM
The pool will be closing @ 4:00 pm on 6/30 and 7/7 due to home swim meets. The swim team banquet is scheduled for 7/24 from 5:30-7:30pm. A limited snack bar is now open Monday-Friday from 12-2pm.

POOLS/GROUNDS
The Health & Safety inspector visited Crestmoor on 6/28. It was suggested to fill in the coping around the pool and to post pool rules in the baby pool area. The trailer will be repaired and remain on-site to serve as an office for the lifeguards. We will continue to clean up the debris around pool grounds.

MEMBERSHIP
Welcome new members! Blanchfield, Connolly, Gryan, Miller, & Salamone families. Crestmoor will be offering a referral incentive. If a member refers a new member, he/she will receive a 5 day guest pass.

MISCELLANEOUS
The baby pool has been painted and is now open! The changing tents are scheduled to be put up this week. The picnic area tent will be in place the first week of July. More info to follow regarding snack bar.

ADVERTISING
Flyers will be distributed by the Board members.

FUNDRAISING
Crestmoor will be scheduling fundraisers with participating restaurants. When patrons dine out the restaurant will donate a percentage to Crestmoor. More info to follow.

SWIM TEAM
To date, we have 43 swim team members. The swim team will be having a fundraiser. More info to follow. Find practice times and upcoming meets on the website.

POOLS/GROUNDS
Still working on having the trailer removed from pool grounds. The cost of running the generator is $60 per day. Delmarva Power is scheduled to hook up the electricity this Friday, June 25th. Just a reminder, Crestmoor Swim Club is a smoke free, alcohol free facility.

    MEMBERSHIP
    All members are required to pay primary member dues to remain current. For those who are bond owners, a written letter stating you no longer want to be a member of Crestmoor Swim Club is required to have your name placed on the bond list.

    MISCELLANEOUS
    Opening date to be announced via email. New chairs & umbrellas will be on-site opening day as well as porta potties & changing tents. More info to follow regarding snack bar.

    SWIM TEAM
    Dry land practice will start 5:30PM on Monday 6/14 at Crestmoor. Registration for swim team is scheduled for 6:30PM on Monday 6/14 at Crestmoor. Additional information regarding upcoming practices and meets will be handed out at practice/ registration. To date, we have 32 swim team members.

    POOLS/GROUNDS
    The trailer should be removed from pool grounds next week. The water meter is scheduled to be installed on Thursday 6/10.

    THANK YOU VALLEYBROOK SWIM CLUB!

    MEMBERSHIP
    To date we have approximately 59 paid memberships. An email regarding the status of the pool will be sent out to all members by the end of the week. Danny, Maria and Jen were at Valleybrook this weekend to welcome Crestmoor members and to collect dues. Our members were very impressed with Valley Brook.

    MISCELLANEOUS
    PO Box renewal fee due ($60 for 12 months).

    ADVERTISING
    Flyers will once again be distributed by the Board members.

    SWIM TEAM
    We briefly discussed swim team. Diane will contact Valleybrook regarding swim practice. We also discussed hosting Crestmoor's home meets at Valleybrook or the opposing team's pool. Per Dianeds email, there were several items lost in the fire that absolutely have to be replaced in order to host a meet. These things shouldn't be more than $200-$300.

    POOLS/GROUNDS
    Danny will contact the rental company to have the trailer removed from pool grounds. Nick working on getting a temporary permit for construction.

    WEBSITE
    An email will be sent to Kristie to update the calendar for 2010.

    Meeting Minutes
    September 28, 2009

    In attendance: Dan Lawson, Rich Green, Diane Pedicone, Jen Bowers, Kim Wayne, Maria Riley.

    Progressive received a check from the insurance company.  Crestmoor has not yet received anything for the loss of income.

    Swim Team
    It was discussed and decided that Meaghan Arsola should receive the JB Award for the 2009 Swim Season. Diane will take care of getting the name added to the plaque at Crown Trophy.

    Next year is supposed to be a "paint" year for the pool. Diane would like for us to revisit getting our pool changed to a 6-lane pool. If this is accomplished, we could then request a time-trial at Crestmoor every season and this would be a huge "fundraiser" for the pool.

    Diane requested a case for the the starter used for swim meets. This purchase was approved.

    Lifeguards
    We have two new interested guards for next season:  Anna Riley and Sam Pedicone.

    Progressive
    Progressive received a check from the insurance company for their bill.  Crestmoor has not received anything yet for the loss of income report filed.

    Pool & Grounds
    The trash has been emptied.
    The electric is to be shut off on September 30.
    The sewer meter reading will be done by Mark/Rich and given to Maria.
    The porta potties will be moved out on Thursday, 10/1.

    Canopy/picnic area:  We are hoping to incorporate a permanet structure for the picnic area when rebuild takes place. If this is not feasible, we will have to order a new canopy in Jan/Feb to be sure it is in on time for the 2010 swim season.

    Snack Bar
    It was suggested to have a snack bar consistently throughout the summer. A potential bid from Dom's Pizza is being reviewed. Further discussion will take place on this topic. An outside contractor will have to maintain a secure area for their belongings and our members will need access to the kitchen.

    Memberships
    Restructuring of the dues is going to be discussed...primary member vs. associate member fees. This will need to be decided by Jan. for Feb. 2010.

    Elections
    The elections are tentatively scheduled for October 28, 2009. Since this will not be a general meeting, we thought it would be a good idea to have some information on a handout for the members to pick up when they drop off their voting card. We should probably make 30 copies.

    August 31, 2009

    MEMBERSHIP
    To date we have approximately 104 paid memberships.

    St. Mark's Day Camp is proposing a new fee for next year based on the fact that their enrollment is down.  This proposal is in review.

    St. Matt's Day Camp - They had 75 kids at the pool this year nearly every day.  We may want to consider changing our contract with them for next season.  This is contract is being reviewed.

    LOSS OF INCOME
    Each board member is asked to compile a list of items we lost in the fire and email that list to Maria.  Diane will take care of the swim team items.  The guards and Kelly have taken care of items lost in the office.

    PROGRESSIVE
    We have a bill from Progressive Pool Management - Nick will discuss this with Dennis.

    OHIO CASUALTY INSURANCE
    Prior to the pool opening next year it is mandatory for us to post signs on the baby pool as well as repair the gate to the baby pool with an automatic closing system and child proof latch. The concrete will be repaired during the rebuild.

    CRAB FEAST
    Despite the bad weather, we broke even and everyone had a very good time!!!

    POOLS/GROUNDS
    The fencing will be repaired during the rebuild.  At this point Colonial Construction is managing the subcontracting for the rebuild.

    DONATIONS
    The following people have made donations to Crestmoor Swim Club and we would like to thank everyone for their generosity and thoughtfulness.  This information will be posted on the home page of our website.

    SWIM TEAM
    Time Trials was very successful and many thanks to Penn Acres Swim Club for allowing us to host this event at their pool.

    Since the passing of JB (Jimmy Blunt) in November of 2007, an award created in his honor was meant to be given annually to a Crestmoor Swim Team member.  At the swim team banquet this season this award was withheld.  In a 7-1 vote it was decided by the Crestmoor Swim Club Board, with the exception of Diane, that this award continue without any interruption.  Therefore, after reviewing the criteria and potential candidates with the coach and other swim team participants, it will be decided who the recipient(s) will be for this award at our next meeting.  A plaque w/eulogy for JB will be made for display at Crestmoor's facility.

    POOL HOURS
    The pool will not be open during the week from 9/8 through 9/11.  We will maintain regular pool hours on 9/12 and 9/13.  September 13 will be the last day the pool will be open for this season.

    Mark will get a meter reading and the electricity will be turned off on 9/14.

    ELECTIONS
    Rich Green is running again for the position of pools and grounds.  All nominations will be collected this weekend and the end of year meeting will be scheduled at our next board meeting.

    Our next meeting will be held on Monday, September 28 at 6pm and the meeting place is to be determined.

    June 11, 2009

    The Board met today mainly as a followup to our Open House held on Saturday, June 6, 2009.

    MEMBERSHIP
    We had five new memberships on Saturday's Open House! A few of these new memberships did receive the flyers that were distributed by the Board members.

    We have a total of 18 new memberships to date!!! with the possibility of a few more coming over the weekend. All memberships paid total has come to approximately 97.

    It was discussed to hold another open house during the weekend of June 27 and 28. Keep refreshments light and easy and post signs and grab a few balloons to put out near Boxwood Road. It was also decided to continue with the free 5-day guest pass if they join that day.

    ADVERTISEMENT & POOL RENTALS
    We plan to have the website updated with advertisement for the Crab Feast in August--this event was a success last year.

    A flyer will be made for companies to rent the pool for their annual picnics, etc. We will also post this on the home page of the website.

    WJBR will be coming to Crestmoor on July 3 - more details to follow. Plan to have an email distribution sent to all members to notify everyone of this event.

    We have two more pool rentals:

    • July 11 8p-12a - B. Igo
    Daytime party rental fees were discussed and set as follows:
    These parties are typically for a 3-hour time frame including 1/2 the pavilion and full usage of the kitchen and other facilities.

    Members: The fee for parties under 35 people is $6 pp that is not a member (Since Crestmoor is a private facility anyone who is not a member, whether or not they are swimming, must pay to walk through the gate.)

    Parties >35 people to 50 people will have a flat rate of $200.

    Non-members: The fee is $300 for a party up to 50 people and a deposit is required 10 days in advance. Any non-member wanting a party over 50 people during daytime hours will have to be reviewed by the board.

    INSURANCE
    The status of the insurance recommendations have been forwarded to them again.

    Safety signs have been and still remain in the areas near the pool.

    The new baby gate lock has been purchased and will be installed.

    PROGRESSIVE POOL MGMT
    A bill was received from Progressive for $2,000 for work done on the baby pool. This bill is currently in review. We have an extra ladder from PPM that we don't need and are being charged for?--this will be discussed also.

    MAINTENANCE
    Rich hung the lights under the pavilion--Thank you! The new baby gate lock will be replaced soon.

    A new hot water heater was purchased and installed for the men's room.

    Electrical work regarding the baby pool has been fixed - Thank you to Mr. Arsola for your help with that!

    SNACK BAR
    It was agreed that the swim team will NOT sell any ice cream products (including freeze pops) while they are selling their lunch items. It is felt that the "pool" should be the exclusive seller of the ice cream.

    NEW BUSINESS
    It was decided to communicate through email regarding the next Open House and then we will set a meeting date in July as a followup.

    May 12, 2009

    PHONE NUMBER
    Good News!!! Maria was able to have the phone company retrieve Crestmoor's phone number assigned back to us. All should be in working order.

    ELECTRIC COMPANY
    The DP&L wants a $1,400 deposit to turn on the electric for the summer...working on getting this number down to at least half ($700).

    POOL HOURS
    A few members have concerns with our hours this summer. It was explained that this summer is a long summer, meaning Memorial Day is earlier (May 25)and Labor Day is later (Sep. 7).The pool has always opened"full-time" the week after the schools let out.Last year 2008, it was June 14 weekendand then on.This year it is June 13th; therefore there has not been a change in when the pool opens.

    Note: We did recently adjust our hours the week of Aug 24-28.Initially Red Clay School District had the kids starting school on Aug. 25. This schedule was just revised hence we adjusted our hours since we will have guards available.

    Remember - dues were not raised this year!

    MEMBERSHIP
    Guards will need to strictly monitor the front desk this year.

    Pool Flyers have and still are being distributed along with the Cosmos flyer this week. Cosmos will donate 20% of the food bill to Crestmoor Swim Club starting May 17-24 with coupon.

    PROGRESSIVE POOL MANAGEMENT
    Nick is in discussion with Dennis regarding the contract. Drains were fixed and pool was being filled with water.

    RENTAL FEES
    Fees will be set as such:
    • After hours parties (8pm-12am)
    • Members: $300 (includes 2 guards)
    • Non-members:$400 ($100 non-refundable deposit is due upon scheduling (includes 2 guards)
    • 50-75 people - need 3 guards (each additional guard is $50)
    • 75 and over - need 4 guards
    It was suggested to create a flyer advertising our rental availability...this will be passed onto businesses in the area for company parties etc.

    • A date for "Movie Night" will be selected and advertised.
    • Trying to coordinate a "Happy Hour" in conjunction with the James Street Tavern.

    SWIM TEAM
    Diane was not present at the meeting but forwarded the information that Crestmoor will be holding the 10 and under time trials this year on Tuesday, July 14, 2009. There is a lot of work involved in this and planning will take place in the near future. All parents are needed for this event! Swimsuit ordering has a tentative date for May 24...more information to come from Diane on swim team along with any news on Charcoal Pit and Friendly's night for the pool.

    TAGS
    Nick obtained the tags and Jen has them on hand. Each member will be issued a tag.

    SUMMER PROGRAMS

  • Maria will contact the Boys and Girls Club to see if water aerobics is returning this summer.
  • Olympiad gymnastics will be returning.
  • Nick has been in touch with St. Mark's Day Camp and they will be returning also.

    ADVERTISING
    Flyers have been made and distributed to each board member to place throughout neighborhoods. In addition, John (owner of Cosmos) would like to assist our pool by offering a 20% (of food bill only) donation to our poolduring the week of May 17-24. Meaghan created the flyer and it should be finalized with John soon. This flyer will also be distributed and placed in the bulletin at St. Matthew Church for the weekend of May 16th and 17th.

    John also is donating the hot dogs and rolls for our Open House on June 6. Try to get this information up on the marquee at St. Matthew's hall. We are very appreciative of John's generosity!

    There is a Civic Association meeting at Five Points on Wednesday, May 13. (Dan Lawson was to get the time of the meeting so that a Board member could attend and represent Crestmoor. The Civic Association would like to know how they can help.

    It was suggested to make sure the loud speaker at the pool is fixed so that we can announce throughout the day any fundraiser events going on for the pool, i.e. night at a restaurant, etc. We are also creating a group email for all pool members to send announcements, updates, news, etc regarding the pool.

    SOCIAL EVENTS
    Kim and Meaghan will be reviewing the social events calendar as well as plan a "movie night" being sponsored for us by Progressive Pool Co. Planning for other events are underway also.

    MISCELLANEOUS
    The water and electric were due to been turned on May 1. Our telephone number has been accidentally reassigned to another business...working on getting this straightened out; and our sewer bill got changed to a more reasonable amount.

    Vac alerts are now $695.Nick will discuss this with Dennis again...they have them in stock now.

    Brown Awning was called and cancelled the set up of the awning.Rich had stored the awning at the pool during the winter and he is planning to set it up soon.

    Guards clean up the pool area the week before Memorial Day.Roundup has already been applied to the weeds and the grass cutting man has already been contacted.

    POOL RENTALS
    We are planning to have an-online calendar listing the dates booked for parties, etc.

  • St. Matthew Parish wishes to book Aug. 23 for Mass.
  • There will not be a St. Matthew track party at the pool this year.
  • Pool rentals are open to non-members. We are working on getting these fees listed on the website.

    February 15, 2009

    In attendance:Nick Gioffre, Maureen Arsola, Maria Riley, Mark Mills, Dennis (Progressive Pool), Jen Bowers, Kim Wayne, Diane Pedicone and Dan Lawson.

    The board met with Dennis from Progressive Pool Management, Inc. to discuss the contract for Summer 2009. Cost effective changes are in progress. However, some immediate repairs must take place before the season begins. Vac alert needs to be placed on the baby pool drain and their cost is approx $1,500. Pool drain gates need to be replaced (frames and grates $150-$160 each). Mark and Rich will be doing as much of this work as they can.

    POOL HOURS
    Summer 2009 is longer than usual since Memorial Day is a week earlier and Labor Day is a week later. It was discussed and approved to adjust the pool hours during the last week or two of the summer since most families are back to school. These hours will be posted on the website.

    2009 Summer special: *New Family* (must not have ever been a member of Crestmoor in the past)...Fee is $375 up to 4 persons. Over 4 is $425. There will not be a Bond Fee or Registration Fee for anyone who decides to register with this Special! Crestmoor will be having an Open House on June 6. Our website will be updated with any information pertaining to this event.

    SWIM TEAM
    We briefly discussed swim team. It has been decided to raise the swim team dues Diane will check to see if Crestmoor will be holding the 10 and under time trials this summer.

    Tentative swim team season dates will be posted on the website along with practice times. The Coach would alsolike to plan a registration/team meeting prior to Memorial Day weekend.

    MEMBERSHIP
    Jen is mailing the membership letter/forms and the dues are to be paid by May 1.

    SOCIAL EVENTS
    Planning is underway to bring the crowd back at Crestmoor. Our website again will highlight these events including our Annual Crab Feast which was a huge success last year! Pool rentals will be available again for parties etc. to non-members - contact is Kim Wayne.

    TAGS
    Nick is working on getting them and a price.

    January 25, 2009
    In attendance were: Nick Giofre, Diane Pedicone, Maureen Arsola, Maria Riley, Kim Wayne, Jen Bowers.

    Meeting called to order

    BUDGET
    Maria submitted our ending balance as $4,000. We reviewed many items on the contract through Progressive Pool Management to see where we could save money. These items were discussed in detail and would be available upon request. We will plan to have Dennis from Progressive join us at our next meeting.

    CAMPS
    1. St. Marks Day Camp
      Nick is to contact St. Marks Day Camp to confirm they will be using Crestmoors facility again this summer.
    2. St. Matthew Day Camp *NEW*
      Discussed St. Matthew Day Camp using the facility during the summer. All were in agreement to allow them the use for the sum of $5,000. The facility will be available to them from 12noon until 2pm. It is felt that this rental could potentially build membership through the families that send their children to the camp. We will discuss the guard situation with the Manager in the near future to be sure we have adequate coverage should the population pick up during these hours.
    DUES
    It was decided to keep the dues the same for this year. The only change will be the due date will now be set to May 1 of the current year for each year.

    SWIM TEAM
    We briefly discussed swim team. It has been decided to raise the swim team dues to $40 per child and $80 for family of two or more. This fee includes the snack bar bee.

    Diane is checking to verify that we will host the 10 and under time trials this year. In addition, Diane will give us dates of swim team registrations, practices, swim schedule, etc. to get posted on the website. Meaghan Arsola plans to return as swim coach and has many fresh ideas to encourage our swimmers both experienced, as well as inexperienced.

    MEMBERSHIP
    We welcome Jen to a very busy position on the board! The books were handed over to Jen. Jen and Maureen will get in contact with one another to review the memberships in place.

    The Board discussed offering a family rate this year (2009) at $375 with no registration/bond fee. Our current rules would remain in place that the members of the family must be immediate family members living in the household. More to come.

    ADVERTISING
    Currently creating a new advertisement for Crestmoor Swim Club to be distributed through neighborhoods, schools, etc. Kim is working with Kristie Corridori to upload our information onto the website. In our attempt to Go Green, we ask everyone to refer to the website for updates on meeting minutes, special events, etc. In the event you do not have access to a computer, this information will be available at the pool upon request.

    POOL RENTALS

    POOLS & GROUNDS
    Looking into electrical problem within the facility. The new freezer which was sent from HyPoint last summer continues to stop working periodically. This has caused Crestmoor the loss of hundreds of dollars worth of ice cream over the past summer.

    The drain cover in the baby pool and the coping have already been repaired.

    MISCELLANEOUS
  • Nick will contact St. Marks Day Camp to confirm their rental this summer.
